Maintenance & service agreements
For hotels, student accommodation and commercial operators, we maintain the systems we install — planned servicing, breakdown response and defects liability support from the team that designed, installed and commissioned the plant.
That continuity is the point. The crew attending a fault already knows how the system was built, what equipment was selected and why, and where it all runs — so diagnosis starts from knowledge of the building rather than from a set of drawings.
Programme
A schedule matched to the plant
Agreements are built as a tiered schedule rather than a set number of visits. Monthly attendance covers plant rooms, roof and basement fans, condensers, drives and common-area equipment, with quarterly, six-monthly and annual scopes layered on top as they fall due.
Where a building has more units than can be serviced in a single visit — hotel and student accommodation rooms in particular — filters and coils are worked through on a rotation, so every unit is covered across the year without the building being taken offline. Work is carried out to AS/NZS 3666 for air-handling systems and to the manufacturer’s requirements for the installed plant.
Compliance
Essential Services under AS 1851
Mechanical fire protection systems — fire and smoke dampers, stair pressurisation, smoke control — are Essential Services under the NSW Environmental Planning and Assessment Act. They have to be maintained and recorded to AS 1851:2012, and those records are what the Annual Fire Safety Statement is built on.
We carry that scope inside the maintenance agreement: monthly fan run checks, quarterly simulation tests, six-monthly and annual damper testing, and the Essential Services logbook updated at every visit. Fire damper testing can run on the rotational basis AS 1851 allows, or on a full annual cycle where the owner wants complete coverage every year.
To be clear about where our scope stops: we do not issue or sign the Annual Fire Safety Statement. We carry out the testing on the mechanical systems, keep the records, and hand the completed logbook and annual report to whoever is issuing the statement — so the person signing it has proper evidence for the mechanical services rather than a gap.
In-house
Controls and switchboards, not subcontracted
Most HVAC contractors send the electrical controls side of maintenance out to somebody else. We don’t. Mechanical switchboards, variable speed drive parameters, room controllers and control wiring are maintained by our own people.
That matters when something stops working. A drive fault, a controller that has lost its settings, or a damper actuator that will not drive is diagnosed and fixed on the same visit — not turned into a second attendance by another trade a fortnight later.
Reporting and response
What the building manager actually receives
Every visit produces a service report within 72 hours — what was done, the condition of the equipment, defects found, photographs and recommended actions — and the site log book is updated on the day. Quarterly summaries cover open defects and upcoming obligations. Once a year you get a full report with condition ratings for every asset, performance against design, and a three-year capital forecast, so replacements can be budgeted rather than discovered.
Defects are graded. An immediate safety risk is reported the same day, an operational fault within 24 hours with a quote to follow, and advisory items go into the visit report.
For urgent faults we attend within four hours during business hours. After hours is best endeavours, with Essential Services faults prioritised — we would rather say that plainly than promise a guarantee we could not hold to every night of the year.
